When can you delete an item (perform a void/storno)?
The possibility of seamlessly cancelling a receipt exists at only one point – before the transaction is confirmed. Once the receipt is printed and saved in the cash register's fiscal memory, it becomes an official document and you can no longer simply delete it.
How to perform a void while serving a customer:
Make absolutely sure that the receipt has not yet been closed with the sale-finalizing key (e.g., "TOTAL" or "SUM").
Press the button on the device marked as [C], [Cancel], or [Storno] to cancel the entire transaction or just the last item.
Confirm the operation by following the instructions for your cash register model.
You should know that a receipt cancelled this way will not be included in your daily or monthly reports. Keep in mind, however, that the total number of cancelled receipts will be noted on the daily report printout.
What must you do when an erroneous receipt has already printed?
If the transaction has been closed, do not throw away the receipt. Modern online cash registers send transaction data to the Central Repository of Cash Registers (CRK) in near real-time, which means the tax office already knows about the transaction. In this situation, you must carry out a formal correction.
Follow this procedure:
Keep the erroneous receipt – physical proof of the mistake must remain in your company.
Enter the new sale – register the correct transaction on the cash register. Hand this new, correct receipt to the customer.
Fill out the corrections register – you must record the error in a dedicated register. Be sure to enter the date, gross value from the receipt, tax due, and a brief description of the reason for the error.
Attach the old receipt – you must attach the printed original of the erroneous receipt to the register entry.
Submit the documentation to accounting – the corrected transaction must be handed over to accounting along with the monthly report. Accounting will include it in the records (e.g., KPiR) as a corrective entry with a negative sign.
What documents must you absolutely prepare?
Proper documentation is your shield in the event of a tax audit. You are required to maintain two types of documents:
Corrections register: This is an official, legally mandated record that serves as the basis for making correct tax settlements.
Sales cancellation report: This is your internal supporting document that serves as proof for the register entry. It must contain: your company details (name, address, NIP), the registration and serial numbers of the fiscal cash register, the date and gross value of the error, the reason for it, as well as a legible signature of the person preparing it.
What are the consequences of not following these procedures?
Ignoring the records or frequent, unjustified receipt cancellations prior to printing poses a huge risk. A tax audit may treat this as an intentional violation of regulations. This can result in:
Hefty fines, as errors in the records are treated as a fiscal offense.
A very thorough tax audit of your entire company.
VAT arrears and the requirement to pay interest.
Criminal liability if the tax authority considers systematic actions to be tax fraud.
