VAT rates on a cash register. How to correctly assign letters A–G?

Urszula Kika·2026-07-27·3 min read

Wondering what the letters A–G mean on a receipt? You need to know how to properly program VAT rates on your cash register to avoid penalties. Check out the rules for 2026 and safeguard your business with fiskasy.pl!

An elderly woman receives a receipt from a young shop assistant in a local grocery store.
  • You are bound by a rigid, standardized system for assigning VAT rates to letters A through G in the cash register's memory.

  • The letter A is always a 22% or 23% rate, while D is 0%, and E indicates a total VAT exemption.

  • Changing rates on your own requires strict caution.

  • Every VAT rate modification must strictly be preceded by generating a daily report from the register.

  • Designation errors expose you to tax penalties.

You run sales and issue receipts every day. As your business partner, the fiskasy.pl team reminds you: in 2026, there is no room for tax mistakes. The letter designations for VAT rates on a cash register are not arbitrary characters, but a mandatory coding system that you must strictly follow. Improper device programming exposes you to unnecessary tax penalties, so you need to know how to safely manage this matrix.

Which rates hide behind the letters A–G?

You cannot decide for yourself which letter on a receipt corresponds to which rate. The regulations impose a rigid breakdown that you must follow. Program your register exactly according to the scheme below:

  • Letter A: You must assign the standard tax rate to it, i.e., 22% or 23%.

  • Letter B: Reserve it for the 7% or 8% rate.

  • Letter C: Used exclusively to designate the 5% rate.

  • Letter D: Assign the 0% rate to it.

  • Letter E: Use it only for tax-exempt sales (designated as "ZW"). This applies to tax-exempt supplies, such as selected educational, financial, or medical services.

  • Letters F and G: Use them for the remaining rates. This includes, among others, the so-called technical zero (0%) for sales under the VAT margin scheme (e.g., in the case of antiques, artworks, second-hand goods, or travel agency services).

The correct letter must always appear on the printed receipt right next to the name of the good (or service) and its unit price. Also note that at the bottom of each receipt, the cash register generates a special VAT summary, showing the gross sales totals, VAT amounts, and net sales for each letter used.

What do you need to know about the regulations?

Remember that the VAT matrix in fiscal devices is strictly regulated. You are obligated primarily by the Regulation of the Minister of Finance of June 25, 2025 (specifying technical requirements for cash registers) and the Value Added Tax Act of March 11, 2004. Ignorance of these regulations does not exempt you from liability.

How to change VAT rates yourself? (Step-by-step guide)

If you need to update the rates on your device, follow the procedure below:

  1. Generate a daily report. This is the most crucial step! Changing rates before printing the report will lead to accounting errors or complete loss of data for that day.

  2. Enter the register's programming mode. Enter the appropriate service password.

  3. Find the VAT rate programming section.

  4. Modify the values for the letters (A–G). Make sure they comply with current law.

  5. Save the modifications in the cash register's memory.

  6. Reprogram your product database. If necessary, you must reassign the new rate letter to each item in the database.

  7. Print a test receipt. Always verify that the new rates calculate and display correctly on the document.
