Selling a Used Fiscal Cash Register: Why It (Doesn't) Pay Off and What Your Obligations Are

Planning to sell or buy a used fiscal cash register? You need to know that it involves strict procedures at the Tax Office. Find out how to carry out this process legally.

Under the law, you can sell a used fiscal cash register, but in practice it rarely makes financial sense for either party to the transaction. Before selling, you must commission a fiscal memory readout and deregister the device with the Tax Office. The buyer, in turn, must reckon with an expensive module replacement (it is permanently assigned to your NIP), the lack of tax relief on purchase, and the need for re-fiscalization. Instead of looking for a buyer for next to nothing, the most sensible and safest solution is proper disposal of the old equipment and purchasing a new cash register with a warranty.

How to prepare a fiscal cash register for sale?

  3. Deregister the cash register at the Tax Office: Pursuant to the Regulation of the Minister of Finance of June 25, 2025, you have exactly 5 days from the date the protocol is drawn up to submit the documents to the office. You must do this regardless of whether you are closing your business or just replacing equipment.

What do you need to hand over to the buyer and what should you warn them about?

Your duties come down to providing a technically functional device along with the service book, original power supply, user manual, and a complete set of documents confirming the deregistration of the cash register. However, you must honestly inform the buyer about two critical issues:

  • Mandatory fiscal module replacement: The heart of the device is permanently locked and assigned to your NIP number. The buyer must commission the service to replace this module with a new one at their own expense, which usually costs almost as much as buying a new cash register. There is no possibility of directly transferring the registration number to another company. After replacing the module and re-fiscalization, the cash register receives a completely new number.

  • Type approval validity: Before listing the cash register for sale, you must check whether it has valid type approval from the Central Office of Measures. Type approval is valid for 5 years from the date of issue. If it has expired, the equipment cannot be re-fiscalized, making it a completely useless piece of electronics.
